Privacy policy

Apivox is a Swiss beekeeping management platform. This policy describes which personal data we process, for what purpose and in what way, in accordance with the new Swiss Federal Act on Data Protection (nFADP).
1. Data controller
The data controller is Thibaud Goetschi, Route de Torny 13a, 1691 Villarimboud, Switzerland. For any question regarding the protection of your data, you can write to us at info@apivox.ch.
2. Data we process
We only process the data required to operate the service:
- Account data: email address, name, preferred language and password (never stored in plain text, only as a hash).
- Beekeeping data: your apiaries (including their GPS coordinates), your hives, your queens, your harvests and your inspection visits.
- Voice commands: the transcriptions of your dictations and, when you use the recorder mode, the corresponding audio files. The audio is transcribed by Infomaniak's AI API in Switzerland, then analysed by our understanding pipeline to fill in your records automatically.
- Transactional emails: the data required to send service emails (sign-up confirmation, password reset, notifications related to your account).
3. Purposes of processing
Your data is used exclusively to provide and improve the Apivox service: managing your account, recording and displaying your beekeeping data, operating the voice assistant and sending service emails. We do not carry out any advertising profiling.
One use falls outside this framework and requires separate consent: improving speech recognition, described in the next section. It is disabled by default.
4. Improving speech recognition (optional)
This use is DISABLED by default. It begins only if you turn it on yourself in your voice preferences, and the date of your consent is recorded.
If you turn it on, the TEXT of your dictations may be extracted to measure and improve the assistant's understanding. Audio recordings are never used for this.
Before any use, those texts are anonymised: your account is replaced by a pseudonym, the names of your apiaries and hives are replaced, and GPS coordinates are replaced by a neutral position. Extraction reaches back no further than 90 days, and the resulting file is destroyed at the latest 30 days after it was created.
We owe you an honest limitation: if the name of one of your apiaries was mis-transcribed by speech recognition, it may escape the automatic replacement. That is why these texts are proofread before any use, and never leave Switzerland.
You may withdraw this permission at any time, from the same preferences. It then ceases to apply to subsequent extractions; a file already produced remains subject to its automatic destruction.
5. Hosting and processing in Switzerland
All of your data is hosted and processed in Switzerland: our servers (VPS) as well as the artificial-intelligence services used for voice transcription are provided by Infomaniak, in Geneva.
No data is transferred outside Switzerland. We never sell your data and we display no advertising.
6. Visit statistics (Matomo)
To understand how the site is used, we use Matomo, a self-hosted analytics tool running on our own servers in Switzerland. It honours your browser's “Do Not Track” signal, no data is shared with third parties and we show no advertising.
By default, measurement works without cookies. If you accept via the dedicated banner, an analytics cookie (maximum duration: 13 months) is set to recognise returning visits. Declining has no effect on your use of the site, and you can withdraw your consent at any time by clearing the site data in your browser — the banner will then ask you again. We also measure anonymous usage events (for example: a sign-up, a successful or failed voice command, an app installation) — never the content of your dictations or your beekeeping data.
7. Retention periods
We keep your data only for as long as necessary:
- Account and beekeeping data: for as long as your account is active; they are deleted when your account is deleted.
- Audio files from the recorder mode: kept only for as long as needed to transcribe and process the command.
- Voice transcriptions: attached to your visits, they follow the same fate as your other beekeeping data.
- Technical logs and transactional emails: kept for a limited period for security and traceability purposes, then deleted.
- Texts extracted for voice improvement (if you enabled it): 90 days of history at most, and the resulting file is destroyed at the latest 30 days after it was created.
8. Your rights
Under the nFADP, you have in particular the following rights:
- Right of access: obtain a copy of the data we hold about you.
- Right to rectification: have inaccurate or incomplete data corrected.
- Right to erasure: request the deletion of your account and your data.
To exercise these rights, simply write to info@apivox.ch. You may also lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC).
9. Security
We implement appropriate technical and organisational measures to protect your data: encrypted communications (HTTPS), passwords stored exclusively as hashes, restricted server access and regular security updates.
10. Changes to this policy
We may adapt this policy as the service or the legal framework evolves. The date of the last update appears at the top of this page; in the event of a significant change, we will inform you by an appropriate means.
